Manage Event Registrations

During the registration period, most of your users will require very little attention: they enter the system, select their items, make a payment, and will see you at the event. However, there are always users who, for various reasons, will require a little extra attention and may require your intervention to finalize their engagement with your event. There are several tools and strategies for keeping track of and resolving these other cases as they arise.

  1. Use the Complete Attendee wizard to manage and/or remove incomplete registrations from the system automatically. View How to set up the Complete Attendee Wizard
  2. Process Pending Registrations.
    Do you accept offline types of payments i.e. payments by check or wire transfer?
    To find registrations that are in a pending status, navigate to the Manage Registration screen, then filter by Attendee Status = Status: Pending
    If you have registrations in a pending status and have not received a payment to-date, send an email to those who are Pending View How to Email Pending Registrants
    If you have received the offline payment, record this in the X-CD system, View How to Process Offline Payments
  3. Update Registrations
    a. There may be instances where an attendee is requesting a change in their registration items and has already made a payment. Instead of applying a refund, then having the registrant choose the new item and submit another payment, you may swap the old item and replace it with the new item and have the invoice total automatically adjust. Swapping Registration Items
    b. If you offer variable price points with a cutoff date, you will want to update invoices when a deadline date has passed so any unpaid invoices have the updated fees. View Updating Invoices when early bird deadline has passed
  4. Process Registrations that require a refund.
    At times, there may be an imbalance of items on the registration form and payment(s). This occurs when attendees register and pay under an incorrect registration type or purchase additional event items and decide to cancel the items or cancel their entire registration. In these situations, the admin will need to review and correct the invoice by either issuing a refund or request that the registrant return to their invoice to pay an outstanding balance.

  5. Cancel Attendees no longer attending. View How to Cancel a Registration
  6. Incomplete Attendees who should be Complete
    If for some reason, you are waiting on a payment and your event is going to occur before the final payment has been received and you want to make the invoice status 'Complete' in order for the user to be able to attend or access the virtual platform and credits, then you will need to administratively lock that attendee's status.
