Managing Program Participants: What's New and Coming Soon

Your program can involve a wide range of participants: different types of chairs, presenters, primary contacts on submissions, authors with specific roles, and more. Each group has different responsibilities—uploading files, completing forms, submitting disclosures and acknowledgements, and responding to RSVPs.

To help you manage these requirements more easily, X-CD is working on:

  1. Providing more tools

  2. Improving targeting for existing features (for example, just co-presenters, or moderators and primary contacts)

  3. Enabling conference-wide tracking of task completion


What's New

Speaker Portal

The Speaker Portal is a new centralized area for program participants that brings together all of their tasks, announcements, relevant links, and personalized session information in one place. Chair disclosures, presenter RSVPs, presentation uploads, and files from primary submitters can now all be completed through a single portal—even when those tasks originate from different modules.

RSVPs (Multi-RSVP)

Previously, RSVPs were limited to a single instance per submission module. The new Multi-RSVP feature decouples RSVPs from submission modules, allowing you to create unlimited RSVPs per conference. You can also specify exactly who needs to respond and what they are acknowledging—whether that’s a submission, a session, or both.

Program Participant Custom Fields

If you need to track logistical or internal information for a specific subset of program participants, you can now create custom forms for this purpose. For example, you might track arrival dates and flight numbers for invited speakers, or availability dates for board members attending the event. These custom fields allow you to collect conference-specific information for each individual.

Submission Portal

If your conference includes multiple speaker submission modules and users are having trouble finding the correct submission link, the Submission Portal can help. It provides participants with a clear view of which modules are currently open to them and available for submission.

Speaker Portal Admin Area

Just as the Speaker Portal provides participants with a single place to view and complete their tasks, the new Speaker Portal Admin Area will give administrators a centralized view of required tasks across the entire conference. From one screen, admins will be able to review task status and take action where needed.

Disclosures Update

We are planning improvements to the administrative side of disclosures, focusing on clearer configuration options and better visibility into disclosure completion status across participants.

Improved Submission Step: Profile Updates

Currently, profile updates are tracked at the overall profile level. We are enhancing this functionality to allow more granular requirements—for example, requiring that a specific section, such as a bio, be updated or explicitly acknowledged by a certain date. This ensures you collect the right information, in the right format, at the right time.
