Configure Chair Module (New version)
IMPORTANT: A Track must be defined on the submission form if using the Submission Chairs. A Program Track must be defined in the program to use Program Chairs.
If no tracks exist, you will not be able to add any chairs.
Chair Module Settings
- Click Dashboard
- Click Speaker Module
- Click Chairs Module in left menu
- Click Settings in the horizontal menu
- select General to configure the overall access settings and applicable review modules
- Click Update Settings button to save changes
- select Settings to configure access and visibility of submission and review content
- Click Update Settings button to save changes
- select Program to configure access and visibility of program management
- Click Update Settings button to save changes
How to Add Submission or Program Chairs?
A Submission Chair will have access controls to submissions within the corresponding track field on the submission form.
A Program Chair will have access controls to manage the scheduling and content within the corresponding program track in the program module.
NOTE: A submission track and program track are 2 separate entities in the x-cd system.
If a Chair cannot access the Chair site, this means they may not have any tracks assigned to them. If they are assigned tracks and are still unable to see submissions in the chair site, submit a support ticket with the email address of the chair and the track information.
- Click Dashboard
- Click Speaker Module
- Click Chairs Module in left menu
- Click Submissions / Program in the horizontal menu
- Select Manage Chairs
- Click the +Add Chairs button
- A screen will pop-up where you may add an existing contact from the system or create a new contact
To search for an existing contact, enter part of a lastname in the Find Contacts field and a list of possible matches will appear.
Select the individual from the list.
Click in Submission/Program Tracks to select one or more tracks to assign to the Chair
Click Add Existing button to add
If you cannot find an existing match, then click the New Contact tab
Complete the Firstname, Lastname, Email fields and if applicable, Company and click Add New Contact button
- A screen will pop-up with a list of the corresponding pre-defined tracks, Click in the corresponding checkbox(es) to assign the track(s).
- Repeat steps 7-8 to add each chair.
Where to Find the Link for the Chair Module?
- Click Dashboard
- Click Speaker Module
- Click Chairs Module in left menu
- The screen will display the URL the Track Chairs would use to log in to the Chair module.
NOTE: The chair URL is the same regardless if you used the legacy Track Chair module or the newer Chair Module.
How to Enable Chairs to Assign Final Status for Abstracts?
- Click Dashboard
- Click Speaker Module
- Click Chairs Module in left menu
- Click Settings in the horizontal menu
- Select Submission
How to Allow Chairs to Manage the Program?
- Click Dashboard
- Click Speaker Module
- Click Chairs Module in left menu
- Click Settings in the horizontal menu
- Select Program
- From the list of attributes enable the applicable settings for the Chairs
