Advanced Notifications

Overview

While there are many automatic emails that can be configured in X-CD, you may be looking to send an additional email when a particular event occurs, that goes beyond the standard automated emails. Advanced notifications allows you to create additional automated emails in response to "event triggers", that may be useful for managing your event.

For example, when a final paper is received you may want to:
  1. send a confirmation email to the submitter acknowledging it's receipt.
  2. send an email to a Track Chair notifying them a paper has been received in their track.
  3. send an email to all assigned reviewers, notifying them a paper is now available for review.

Available Event Triggers

NOTE: While some events may not be covered in this system yet, we may be able to add event triggers on request.

Currently, Advanced Notifications are available in the following modules for the following event triggers:

Speaker Module

Settings -> Advanced -> Advanced Notifications
Email can be sent to: Track Chairs, Assigned Reviewers, Original Submitter (Primary Contact)
  1. When a Draft Paper is submitted.
  2. When a Presentation is submitted.
  3. When a Final Paper is submitted.

Review Module

Where to find: Review Module -> Settings -> Email Content Settings
Emails can be sent to: Track Chairs, The Reviewer, The Original Submitter.
  1. When a review is submitted
  2. When an abstention is submitted


Adding Notifications

To add a notification:
  1. Click "New Notification Trigger"
  2. WHEN: On the first screen, select which event you would like to trigger the notification. Example: "When a review is submitted"

  3. CONDITIONS: The following screen may have additional options for narrowing the event trigger, for example, only when a review is submitted the first time, not when it's updated. Most events do not have additional conditions.

  4. NOTIFICATIONS: This is where you can add up to three notifications to go out. When you click add notification, you'll see the email editor. You can select the target user(s) in the To: field, and add hotkeys to either the subject or the email body.
  5. SAVE: Clicking Next on the previous screen will save the notifications and reload the screen.
