Using Track Chair to View and Manage Submissions

How to View or Edit a Submission?

  1. Log in to the Track Chair Module
  2. Select the Track to view
  3. From the list of abstracts, click on the ID number
    • Click View Abstract to open window to see the abstract details
    • Click Edit Abstract to open the abstract in edit mode and make revisions
    • Click Authors to add/update authors on the abstract
    • Click Email to compose and send an email to the Primary Author
    • Click Notes to add internal administrative comments to the abstract
    • Click Withdraw to set the abstract status to Withdraw

How to Manually Add a Submission?

  1. Log in to the Track Chair Module
  2. Select the Track to view
  3. In the left menu, click + Add Abstract
  4. In Author/Presenter field, enter the first few characters of the Lastname
    • This will return existing matches in the system
    • If the person is listed, click on the name to select
    • If the person is not listed, Click Add Contact, then return to this screen again
  5. Enter a Title
  6. Set Mark as Invited to Checked, to flag the submission as an invited speaker
  7. Update the Email Message
  8. Click Add Submission button

How to Review Submissions?

  1. Log in to the Track Chair Module
  2. Select the Track to view
  3. In the left menu, click Perform Reviews
    • This is list all abstracts that have been assigned to you
  4. Click on the ID number of the submission to perform the review
    • The abstract will appear first, followed by the Review Form to be completed
    • If the form includes an Abstain check box, to Abstain from reviewing
      • Click the check box
      • Click the I Abstain button
      • Do NOT complete the remainder of the review form
    • Otherwise, scroll down to Complete the Review Questions
      • Click Submit Review button

How to Print Out My Assigned Abstracts?

  1. Log in to the Track Chair Module
  2. Select the Track to view
  3. In the left menu, click Perform Reviews
  4. In the Print drop-down list, you may select a subset of abstracts based on theme or all abstract
    • This will produce a pdf file of the abstracts that may be printed.

How to Assign a Final Status?

The Final Status Notification email message must be pre-drafted by someone with Admin access to the submission site.
  1. Once logged in to the Track Chair Module
  2. Select the Track to view
  3. From the list of abstracts, click on the icon on the right of the Final Status text listed under an abstract

  4. Select a Status from the dropdown list
  5. Enter final comments
  6. Click Assign Final status (will not send email notification and use Send Status to bulk send notifications) OR Click Assign & Send (will send an email notification to the primary author)
Depending on the Track Chair Settings, you may or may not be able to assign the Final Status or Send the email. If you are unable to perform these actions, you must contact a person with Administrator access to the submission site.
