On Site Registration & Badge Printing Setup

X‑CD OnSite Badge Printing & Registration Setup Guide

🛠️ 1. Pre Event Set Up 

  • Ensure the serial numbers of your printers are added to your On Site Registration module.

  • Look at the bottom of the printers or refer to the X-CD email listing your printer serial numbers.

  • Log in to your admin site.

  • Navigate to the registration module.

  • Click the On Site Module (purple button).

  • Go to Settings > Printers.

  • Add the printer serial number and assign it a clear name (e.g., Printer 1, Printer 2, Reg Desk, Exhibitor Printer, etc.).



📦 2. Setting Up the Printers

Unbox and Position

  • Unbox all printers and components from the kit.

  • Plug in and power up each printer.

  • Position printers near your network source or provided cellular router.

Connecting to Internet

  • Hardline Internet (Venue):

    • Use the venue’s unprotected Ethernet line (no login credentials required).

    • Connect to a network switch if using multiple printers.

  • Using Cellular Router (Provided):

    • Power on the router.

    • Connect the router’s LAN port to the network switch, and then use Ethernet to connect to each printer.

  • Plug Ethernet cables into the back of each printer.

  • Success Indicator: Look for a green network icon on the printer screen 




📲 3. X‑CD OnSite App Access

Logging In

  • Launch the X‑CD OnSite App (pre-installed on provided iPads).

  • Download on additional iOS devices here:

Setup Steps

  1. Enter your site identifier (usually your conference acronym, e.g., demo, abc).

  2. Log in using admin/support credentials.

  3. Tap the gear ⚙️ icon > Select Printer.

  4. Choose your printer (discovered on the network).

  5. Your iPad is now paired to wirelessly print badges via QR scans or lookups.


🖥 4. Admin Panel Access

  • Go to: www.xcdsystem.com/CLIENTACRONYM/admin/

  • Navigate to your Event’s Attendee Module.

  • Click the Purple "On Site" button to access:

    • Registration tools

    • Badge printing controls

    • Reports

    • Payment collection support


🛠 5. Calibrating the Printers

If print alignment is off:

  • From the printer's touchscreen:

    1. Go to Wizards > Print > Media Calibration.

    2. Run the auto-calibration or manual calibration.

    3. Adjust Tear-Off settings and Feed position if necessary.

  • Use a USB cable and Zebra Setup Utilities (ZSU):

🎟 7. Attendee Check-In and Badge Printing

Modes

  • Kiosk Mode (Self-Serve): Attendees scan their QR code to print badges.

  • Attendees (Admin Mode): Staff can search by name, view profiles, and print badges.

To Scan:

  • Tap the QR icon in the app.

  • Point the camera at the attendee QR code to instantly pull up their record.


📚 8. Session Scanning for Attendance

  • Select Session Scan from the app.

  • Filter and choose the session.

  • Tap Scan and begin badge scanning.

✅ If the session is ticketed:

  • "Access Granted" = registered

  • "Access Denied" = not registered


🧪 9. Printer Testing & Feed

If your printer won’t feed correctly or errors occur:

  • Tap the Feed button to cycle labels through.

  • Double-check media size, sensor alignment, and cut/tear settings.

  • Run calibration again if issues persist.

  1. My Zebra ZD621 won’t turn on. What should I check?
    1. Start by confirming both ends of the power cable are securely plugged in — one to the printer and the other to a working power outlet. Loose or partial connections can prevent startup.
  1. How do I access the printer’s settings menu?
    1. Tap the printer icon on the touchscreen to open the main menu. From there, you can access all configuration options.
  1. Why is my printer showing a “Media Out” error even though labels are loaded?
    1. Lift the printhead and double-check that labels are properly aligned. Once the printhead is firmly closed, unpause the printer. It may auto-feed several badges. Once it stops, press the feed button.
  1. The printer doesn’t seem to detect the label size I’m using. How can I fix this?
    1. Launch the Printer Setup App and check your media settings. Enter your badge dimensions — for double-sided 4" x 6" badges, use a width of 4 inches and a length of 12 inches.
  1. Why are my printed labels coming out faded or unclear?
    1. This typically indicates the printhead needs cleaning. Wipe it down with an alcohol swab. If that doesn’t help, try using a backup printer if available.
  1. How can I toggle between Tear-Off and Cutter Mode?
    1. You can adjust this in the Zebra Utility App under Media Settings, or manually on the printer by selecting Menu > Image Adjust > Media Handling.
  1. Where can I find my printer’s IP address?
    1. From the home screen, tap into the printer info or settings section. You’ll see the IP listed there — typically something like 192.168.x.x.
  1. The printer is powered on, but the screen is blank. What now?
    1. Try opening and closing the printhead to reset the display. If that doesn’t work, disconnect the power while the device is still on, wait 1–2 minutes, and reconnect it.
  1. The printer is frozen on an error message. What’s the safest way to restart it?
    1. Press the power button to turn off the device, then unplug the power cord. After 10–15 seconds, reconnect the cable and power the printer back on.
