Review Module with multiple reviews
The review module has been updated to include some new functionality and to take away the need for separate review modules (i.e. paper module). You may now perform several different types of reviews, within the one submission module.
If you are not using the multi-review module and the review process has already started, you cannot be converted to use the multi-review module. The multi-review module can only be activated BEFORE the review module has been configured and/or BEFORE any reviews have been assigned or collected.
The setup remains relatively the same, except you may now create several independent review processes. When you have more than one review form defined, you must pre-select the review form first, then the menu items and screens will all be associated with the review form you are in.
Create or Add a new review module
- Click Dashboard
- Click Speaker Module
- Click Review button
- If there are no review modules created yet in your submission module, you will see the below screen, click Add New Review Module button
(NOTE: If you are not seeing either of the below screens, this means you are not using the Multi-review module, contact X-CD support immediately if you wish to use the multi-review module and do not configure anything.)
If there are already review modules created, click on Add New Review Module
- Enter a name for the review module you want to create (e.g. Initial Abstract Review, Paper Review, Video Review, Awards Review, etc)
For Clone Previous Review Module, you may select a review form that currently exists to copy. If you want to define your own form and fields, do not use the Clone Previous Review Module option
- Click Settings in the horizontal menu, there are several setting areas available:
General Settings - Rename the review module. open/close access to the review form, set Blind Review, and set filters on submissions that will be applicable for this review module
Content Settings - Enter Screen Instructions for Reviewers and set which submission form fields reviewers will see
Email Content Settings - Compose/Edit the default email content sent to Reviewers when the Invitation to Review or Incomplete Reviews emails are sent or enable the Abstain Email notification
IMPORTANT NOTE: Remember these settings will only apply to the current review module you are in and are independent settings and do not impact any other review modules that have been defined.
Note: Reviewers are assigned per review module. Each review module can have its own set of reviewers or can be the same. e.g. You may have a pool of reviewers to review submissions that will be accepted into the program schedule and another pool of reviewers to review the submissions for awards.
How to Copy the Reviewers from another Review Module/Reviewer Pool
- Click Dashboard
- Click Speaker module
- Click Review button
- Select or create a Review module
- Click Reviewers in the horizontal menu
- Select Reviewer Pool
- Click Copy Pool
- Select the review module you wish to copy from
- Click Copy Pool button
This will populate the current reviewer pool with the same reviewers from the review module you selected to copy from.
If you have a multi-review cycle, and you have the same reviewers and want them to continue to be assigned to the same submissions in another review stage, use the Clone Assignments functionality to copy the reviewers and assignments from another reviewer module.
How to Copy the Reviewer Assignments from another Review Module
- Click Dashboard
- Click Speaker module
- Click Review button
- Select or create a Review module (this would be your new review cycle e.g. Draft Paper Review Round)
- Click Reviewers in the horizontal menu
- Select Clone Assignments
- Click in the Select Other Review Module dropdown list and choose a review module
- If you want to further filter the submissions that will be assigned, click in the Select Final Status dropdown list and select an applicable Status. You may select more than one status, by holding down the CTRL / Command Key and clicking with your cursor on another status
- Click the Run Clone button
Add / Edit the default email for the Invitation to Review
- Click Dashboard
- Click Speaker module
- Click Review button
- Select a Review module
- Click Settings in the horizontal menu, select Email Content Settings
- Add / Edit the Subject and Email content for the Submission Reviewer Email
- Scroll down and click Update button to save
Add / Edit the default email for the All Incomplete Reviewers
- Click Dashboard
- Click Speaker module
- Click Review button
- Select a Review module
- Click Settings in the horizontal menu, select Email Content Settings
- Add / Edit the Subject and Email content for the Reviewer Reminder Email
- Scroll down and click Update button to save

- Click Dashboard
- Click Speaker module
- Click Review button
- Select a Review module
- Click Settings in the horizontal menu, select Content Settings
- Edit the content in the Submission Review Screen Instructions field
- Scroll down and click Update button to save
How to download a list of all assigned reviewers?
- Click Dashboard
- Click Speaker module
- Click Review button
- Select a Review module
- In the middle of the screen, locate the All Assigned Reviews report, click the Download button
This will download to your computer's download folder.
- Click Dashboard
- Click Speaker module
- Click Review button
- Select a Review module
- Click Settings in the horizontal menu
- Select General Settings
- Set the Submission Review Site to the desired action: Open / Closed
- Set the Submission Review Form to the desired action: Open / Closed
- Scroll down and click the Update button to save.
