How to Grant or Revoke Administrator Access Permissions?

X-CD User Roles & Access Levels

X-CD provides role-based access to ensure users have the appropriate permissions based on their responsibilities. Below is a breakdown of each role and its corresponding access.

Super Admin

Super Admins have full access to the entire system, including:

  • All contact module information
  • Reporting, downloads, and financial data
  • All event modules and forms
  • System-wide administrative settings, including user management and email functionality

This role has unrestricted access and control over all aspects of the system.


Conference Module Admin

Conference Module Admins are granted access to specific modules within a given conference, such as:

  • Speaker/Submission module
  • Attendee Registration module
  • Exhibitor/Sponsor Registration module

Permissions:

  • Access to all contacts relevant to the assigned module (e.g., speakers, co-authors, attendees, exhibitor staff)
  • Ability to run reports and export data within their module
  • Ability to send mass emails to contacts within their module

Access is limited to the assigned module and does not extend to other event or system-wide data.


Form Admin

Form Admins have administrative access to specific forms, including:

  • Award nominations
  • Applications
  • Sign-ups and evaluations

Permissions:

  • Access to contacts associated with the assigned form only
  • Ability to run reports and send emails to contacts related to the form
  • No access to general contact information, conferences, or financial data

This role is strictly limited to the assigned form and its related submissions.


Contacts Module Admin

Contacts Module Admins have access to the full system-wide contact database.

Permissions:

  • Ability to search, email, and download full contact lists
  • No access to specific conference or form module data
  • No access to financial reports or other sensitive information

This role provides broad access to contact information and should be assigned with caution.


On-Site Module Admin

On-Site Module Admins have access to the on-site registration system for a specific event.

Permissions:

  • Ability to query, search, and locate attendees for on-site check-in
  • No access to full backend administrative functions

This role is designed specifically for event-day operations.


Track Chair (Non-Administrative Role)

Track Chairs are assigned to manage a specific track (topic area) within a conference.

Permissions:

  • Ability to view and manage all submissions assigned to their track
  • Search the contact database and assign reviewers to submissions
  • View the first name, last name, and email of submitters, co-authors, and assigned reviewers

Track Chairs do not have broader administrative access beyond their assigned track.


Reviewer (Non-Administrative Role)

Reviewers are assigned to evaluate and score submissions for various categories, including:

  • Conference proposals
  • Forms such as award nominations, scholarships, or applications

Permissions:

  • Read and review assigned submissions
  • Score submissions based on evaluation criteria
  • May have access to submitter contact information if enabled by an administrator

By default, reviews are conducted blind to ensure impartiality and prevent bias.


Types of Admin levels of Access

  1. Admin access to your entire X-CD system by assigning the person "Super Admin Access"
  2. Admin access to a specific module(s) or form(s).

NOTE: When new conferences and modules are added to your X-CD system, if an individual has Super Admin Access, then he/she will be able to access all conferences and modules. If an individual has be granted access at a Module or Form level, access is only valid for the specific module or form.

How to Grant or Revoke Super Admin Access

  1. Click Dashboard
  2. Click Contacts Module
  3. Search for the Contact by entering the first few letters of the first or last name in the Search Field
  4. Once you locate the individual, click on the Manage button
  5. Click Admin Access located in the horizontal menu
  6. Click the toggle button to Yes (to grant access) or No (to revoke access)
    • NOTE: When the toggle for Assign Super Admin Access has been set to yes, do not toggle any of the other buttons.



Granting Access to a Specific Conference Module

If you wish to only grant admin access to a specific conference module, such as to your Program Committee Chair, toggle the button for the specific submission module.

  1. Click Dashboard
  2. Click Contacts Module
  3. Search for the Contact by entering the first few letters of the first or last name in the Search Field
  4. Once you locate the individual, click on the Manage button
  5. Click Admin Access located in the horizontal menu
  6. Click the toggle button to Yes (to grant access) or No (to revoke access) to the specific module listed under the Conference listing




Granting Access to a Specific Form in the Forms Module

If you wish to only grant admin access to a specific form in the Forms module, such as if you have Forms created in the Forms module for Awards or Grant applications, to provide admin access to Committee Chair, toggle the button for the specific form in the Forms module.

  1. Click Dashboard
  2. Click Contacts Module
  3. Search for the Contact by entering the first few letters of the first or last name in the Search Field
  4. Once you locate the individual, click on the Manage button
  5. Click Admin Access located in the horizontal menu
  6. Click the toggle button to Yes (to grant access) or No (to revoke access) to the specific module listed under the Form listing.


Granting Access to Contacts Module

  1. Click Dashboard
  2. Click Contacts Module
  3. Search for the Contact by entering the first few letters of the first or last name in the Search Field
  4. Once you locate the individual, click on the Manage button
  5. Click Admin Access located in the horizontal menu
  6. Click the toggle button to Yes (to grant access) or No (to revoke access) to the Contacts module.

Granting Access to Onsite Module
