Custom/Conditional Hotkeys

When creating standard email templates or mass emails to Attendees, it's sometimes necessary for some of the content to be shown based on what they've purchased. For example, registration confirmation emails for virtual attendees may contain different information than in-person attendees. X-CD's Custom/Conditional Hotkeys allow you to set up email content which may or may not show based on the attendee's registration items.

Finding the Custom Hotkey Screen

To see the Custom Hotkey creation screen:
  1. From the Dashboard
  2. Click on your attendee module
  3. Click on Settings
  4. Under Settings, Click on Payment Settings
Scroll down to the attendee confirmation email and click on Conditional Hotkeys.

You should see this screen below:



Creating/Updating Custom Hotkeys

From here, either click on New and enter all of the information below, or select a hotkey, click update, then edit any of the below information:
  1. Create a hotkey label: This will be what helps you remember what this block of text will include. Ex: Registrants who've purchased Continuing Education credits might receive additional instructions. This hotkey could be called "CE Additional Instructions". Note that we'll remove symbols and replace spaces with underscores ("_").
  2. Create the email content: This is just like creating a normal email, including the basic hotkeys [Firstname], [Lastname], etc... This is what will be pasted into the email when the email is being sent.
  3. Identify the registration items: Select the registration options which, if the attendee has them on their invoice, will trigger this email content to be inserted. Ex: If the email content is just for virtual attendees, choose the registration option(s) for virtual attendees here.
  4. Click Save.

Using Custom Hotkeys

From here:
  1. Select the hotkey you plan to use.
  2. Click Use (this will copy the hotkey to your clipboard).
  3. Right-Click somewhere in the email and click paste, or just type CTRL+V
Tip: When inserting a hotkey that is part of another set of text, make sure it's on the same line as the other text. If you don't you may end up with extra empty lines in your email. Always preview the email first to make sure it appears the way you'd like it to appear.
