Configure Track Chair Module (Legacy Track Chair Module)

The Track Chair Module allows you to designate a Lead Chair (i.e. Track Chair) for a Review Panel of a specific Track.

The Track Chair will have access to assign reviewers within a track and maintain an overview of the reviewer progress and be able to see all reviews. It will also allow the Track Chair to manage the program by scheduling, by adding submissions to a session, removing a submission from a session or changing the order of presentations and assigning moderators/session chairs.

IMPORTANT: In order to be able to use the Track Chair site, one of the submission form fields must be defined as a Track Field.

Track Chair Module Settings

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu, if using the legacy Track Chair module.
  5. Select Settings
    • Update or change the items you want displayed or hidden in your Track Chairs module
    • TIP: Click the ? symbol to learn more about each setting
  6. Click Update Settings button to apply changes

How to Open / Close Track Chair?

If Track Chairs cannot access the Track Chair site, this means the site is closed.

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu
  5. Select Settings
  6. Set Site Open attribute = Open
    • To close the site, click Site Open = Closed
  7. Scroll down and Click Update Settings button to save

If the Track Chair module has been used for past conferences, close the Track Chair for EACH past conference by going into each Speaker - Review module for each conference and setting the Site Open field to closed.

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chair in horizontal menu
  5. Select Settings
  6. Locate the URL address beside
    • This is the url the Track Chairs would use to log in to the Track Chair module

How to Enable an Admin Email for an Abstain field?

If an Abstain field is defined on the Review Form, an admin(s) may be emailed when an abstention is submitted by a reviewer.

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Settings in horizontal menu
  5. Scroll down to the Track Chair section, Abstain Admin Notification field
  6. Set Abstain Admin Notification to Yes
  7. In Abstain Admin Email List, enter the email address(es) to be emailed
    • To enter more than 1 email address, separate the emails with a semi-colon symbol ; and no spaces

How to Enable Track Chairs to Assign Final Status for Abstracts and/or Send Abstract Notifications?

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu
  5. Select Settings
  6. Set the Open/Closed attribute for Assign Final Status to Submissions
  7. Set the Open/Closed attribute for Send Final Status to Submissions
  8. Scroll down and click Update Settings button to apply changes

How to Allow Track Chairs to use the Paper Review module?

The Paper Review module is a separate review module from the abstract review module which has to be enabled by X-CD Staff.

The Paper Review module will allow reviewers to redline documents and upload the redlined document for the submitter to view and is an add-on module at an additional charge. Please check your contract if included. If you wish to have this module added, contact sales@x-cd.com 

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu
  5. Select Settings
  6. Set the Open attribute for Review Paper Submissions
  7. Set the Open attribute for Manage Paper Reviewers
  8. Set the Open attribute for Assign Paper Final Status
  9. Scroll down and click Update Settings button to apply changes.

How to Allow Track Chairs to Manage the Program?

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu
  5. Select Settings
  6. Set the Open attribute for Manage Program
  7. Scroll down and click Update Settings button to apply changes
