Beginner's Guide: Preparing your Exhibitor Registration Form

The purpose of this article is to provide a series of steps in the process of preparing your Exhibitor registration site. This article is useful for beginners, but also to those who may need a refresher.

Each of the below steps correspond to one or more detailed articles within the Exhibitor Module itself.

TIP: Print this list off and check off the items as you follow the steps.

  1. Gather the information for your Exhibitor Registration Form
    • How many different registration types and rates do you have?
    • Are there variable rates such as Early Bird, Standard and Late and if so, what are the cutoff dates?
    • Which fields are required that every exhibitor will need to select?
    • Do you want to combine/separate registration items on to different menus/screen that have similar type options?
      • e.g. Advertising Opportunities, Add-on purchases?
    • Are there any conditional Display If type fields?
    • Are there any maximum limits for how many times an item may be selected?
    • Can an exhibitor purchase multiple quantities of the same item? e.g. you offer a break sponsorship and there are 6 breaks during the conference, an exhibitor could purchase 1 or more of the break sponsorships.
    • Do any of the purchases come with 'free' or discounted attendee/exhibitor registrations to the event an dif so which items and how many complimentary and/or discounted badges?
    • Will you be using the Interactive floor plan? If yes, we will require a floorplan image with mapped booths and numbers on it, along with the booth size, pricing and number of eligible complimentary registrations and/or other discounts and how long can a booth be reserved for without payment being submitted?
    • Are exhibitors required to pay a deposit and if so how much?
    • Is there an applicable tax rate and if so, what is the rate?
  2. To have your Exhibitor Registration Form implemented, contact your X-CD Account Manager or X-CD Support by submitting a support ticket and supply all of the information from Step 1, if you have a Sponsorship Opportunities brochure or Exhibitor Prospectus, include it with the information sent.
